PROCUREMENT MANAGER

GENERAL:

Under general supervision, performs procurement duties for utilized items stored in central supply such as materials, equipment and office supplies. Coordinate with all department representatives and vendors/suppliers to ensure the appropriateness and cost effectiveness of purchases and the resolution of problems/concerns.

 

DUTIES & RESPONSIBILITIES:

1. Prepare formal and informal bids involving technical and complex specifications; create specifications as needed; evaluate and award bids according to current guidelines.

2. Communicate with vendors regarding bid status and contract compliance.

3. Coordinate with departments and various vendors concerning product needed; interview vendors regarding price, product applicability, service quality and related issues; receive and provide information to departments concerning product availability, quality or description.

4. Expedite overdue or delayed orders; coordinate with vendors to resolve product, pricing delivery discrepancies.

5. Receive and verify requisitions for various materials, equipment and services, and determine appropriate method of purchase; prepare and process purchase orders, prepares related reports.

6. Reviews inventory listing and identify items to be reordered based upon specified reorder point, past usage rate, shelf life of item, satisfaction with item, etc. and places order according to established practice.

7. Assists in preparing special cost studies as required by management.

8. Perform additional duties as requested by the General Manager.

 

QUALIFICATION:

 

WAREHOUSEMAN

 

1.0 GENERAL:

 

2.0 DUTIES AND RESPONSIBILITIES:

2.1 Receive goods / materials according to warehousing procedure and implement proper storage as required based on the type of items being received. Checks the receiving documents for compliance (BL, Shipping Invoice, delivery note).

2.2 Operate equipment needed to transfer or move goods/ materials in order to speed up the process of material transfer and storage. Should be knowledgeable in operating forklift.

2.3 Perform proper sorting of materials (new materials / inventory materials) to properly store the items and develop effective material retrieval.

2.4 Do stock taking inventory and prepare the necessary report resulted in the inventory of materials and properly compiling these reports for future reference.

2.5 Prepare the needed documents during receiving and distribution of materials and perform thorough inspection to ensure correctness of the incoming materials and correct distribution to the end users.
2.6 Properly level, marked, align or stock pile all materials according to storage instruction and to allow corrections of material locations if such areas need review or re-alignment. Follow the storage management system of materials.

2.7 Use the standard warehousing forms based on the necessity of material request.

2.8 Coordinate with Procurement / Impex officer for all incoming materials. Manage the handling, recording, storage and loading / unloading of materials and prepare materials for distribution.

2.9 Ensure all product handlings are according to the standard and working instruction in order to avoid unnecessary cost to the company. Also, use tools and other equipment based on the given task and avoid improper tools / equipment which could cause damage.

2.10 Always integrate the best practices known in order to handle the materials
properly and effectively. Always think safety of self and of materials while working on areas that needs focus and full attention.

2.11 Maintain the cleanliness of the warehouse and its facilities to ensure safety condition of materials and most importantly the safety of all personnel working in the warehouse.

2.12 Do the report needed in the daily basis to monitor all the incoming and distribution of all materials. Data will be for future reference and analysis.

2.13 Ensure all materials have daily updated stocks and all quantity is accounted and correct.

2.14 Always confirm with the Warehouse Supervisor on all action needed related to all activities of the warehouse. Clarifies all the gray areas of the job with the Warehouse Supervisor.

2.15 Preparation of reports and presentations to the Warehouse Supervisor as required.

MATERIAL EXPEDITER

 

1.0 GENERAL:

Responsible for all purchasing documentation maintenance and assistance such as accreditation of suppliers, canvass processing, materials requisition (MR) processing, purchase order (PO) processing, follow-up delivery confirmation, expedite deliveries and to resolve shortages and delivery of items to the end users and maintenance of purchasing records.

2.0 DUTIES AND RESPONSIBILITIES:

1. Prepare purchase orders and send copies to suppliers and to departments originating requests.

2. Respond to customer and supplier inquiries about order status, changes, or cancellations.

3. Perform buying duties when necessary.

4. Track the status of requisitions.

5. Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.

6. Prepare, maintain, and review purchasing files, reports and price lists.

7. Review requisition orders in order to verify accuracy.

8. Forward invoices to appropriate accounts.

9. Compare suppliers' bills with bids and purchase orders in order to verify accuracy.

10. Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
